About AMICO One

AMICO One is an integrated workplace productivity suite developed by AMICO Software Solutions LLP. It is designed to serve organisations of all sizes by bringing communication, collaboration, and operations tools under one unified platform. The suite comprises the following applications, each available as a web application and — where indicated — as a native mobile application for Android and iOS:

All applications within the AMICO One suite share a single sign-on authentication system, enabling users to access every product with one set of credentials.

AMICO One is exclusively available to registered organisations. Individual users cannot create personal accounts or access any application for personal use. All user access is provisioned by an Organisation Administrator, who is responsible for creating the organisation's workspace, inviting members, and managing the data collected within that organisation's instance of the Service. Any data held within the platform belongs to the respective organisation, not to individual users.

This Privacy Policy describes Our policies and procedures on the collection, use, and disclosure of Your information when You use any application within the AMICO One suite — including web applications, Android and iOS mobile applications, and any related desktop interfaces — and tells You about Your privacy rights and how the law protects You.

We use Your Personal Data solely to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Because AMICO One operates exclusively within an organisational context, all user accounts are created and managed by the Organisation Administrator. Personal data is collected at two levels:

Mandatory Information — The following fields are required by the Company to create and operate a user account within the Service. They are always collected regardless of the organisation's configuration:

Organisation-Controlled Information — All other data fields beyond the mandatory information above are optional and are enabled or disabled at the sole discretion of the Organisation Administrator, based on how their organisation operates. The Company collects these fields only when the Organisation Administrator has configured the Service to do so:

The Organisation Administrator acts as the data controller for all organisation-controlled information. The Company acts as a data processor in respect of such information, storing and processing it solely in accordance with the Administrator's configuration and this Privacy Policy. Users within an Organisation who have questions about what optional data their Organisation has elected to collect should contact their Organisation Administrator directly.

Application-Specific Data

Depending on which AMICO One application You use, additional data may be collected as part of delivering that specific service:

Usage Data

Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device's Internet Protocol (IP) address, browser type and version, the pages or features of the Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.

When You access the Service through a mobile device — such as the AMICO One Chat or AMICO One Email Android or iOS applications — We may collect certain information automatically, including but not limited to the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, unique device identifiers, and other diagnostic data.

We may also collect information that Your browser sends whenever You visit Our Service or when You access the Service through a mobile device.

Organisation-Based Access and Data Control

AMICO One is a business-to-business (B2B) platform. Access to the Service is strictly limited to users who have been invited to an Organisation by an Organisation Administrator. No individual may register for or use the Service for personal purposes outside of an Organisation.

No Sharing of Data with Third-Party Vendors

We want to be transparent about how Your data is handled. As of the date of this Privacy Policy, We have not shared, sold, rented, or otherwise disclosed Your Personal Data or Usage Data to any third-party vendor, advertiser, analytics provider, or external organisation. All data collected through the AMICO One suite — including data from the Chat, Email, Calendar, Files, Meet, HRM, and EPOS applications — is stored and processed exclusively on infrastructure operated by or on behalf of AMICO Software Solutions LLP and is used solely for the purpose of delivering and improving the Service to You.

We may share Your personal information only in the following limited situations:

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with Our legal obligations, resolve disputes, and enforce Our legal agreements and policies.

Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or improve the functionality of Our Service, or when We are legally obligated to retain it for longer periods.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and on servers under the Company's control. Your consent to this Privacy Policy, followed by Your submission of such information, represents Your agreement to any necessary processing within those locations.

No transfer of Your Personal Data will take place to an external organisation or country unless adequate controls are in place to protect the security of Your data and other personal information.

Delete Your Personal Data

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

Push Notifications (Mobile Applications)

The AMICO One Chat and AMICO One Email mobile applications use platform-specific notification services to deliver push notifications to Your device:

When You log in to a mobile application, a device token (FCM token for Android; APNs token for iOS) is registered with Our servers and associated with Your account within Your Organisation. This token is used exclusively to route notifications to Your device. Notification tokens are stored only on infrastructure operated by the Company and are not shared with any third-party vendor. You may withdraw consent for push notifications at any time through Your device's notification settings.

Children's Privacy

The AMICO One suite is designed for use by organisations and their authorised employees or members. Our Service does not address anyone under the age of 18. We do not knowingly collect personally identifiable information from anyone under the age of 18. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us immediately. If We become aware that We have collected Personal Data from anyone under the age of 18 without verification of parental consent, We will take steps to remove that information from Our servers.

Our Service may contain links to other websites that are not operated by Us. If You click on a third-party link, You will be directed to that third party's site. We strongly advise You to review the Privacy Policy of every site You visit.
